How can I view email history?

Churchteams keeps email and text history for communications sent via Churchteams.

Text and Email History can be viewed in Churchteams, by going to Communicate > History. 

The History page defaults to Email History but can be toggled over to Text History by clicking on your selection at the top of the page.

Email History

Email History is stored for the previous 9 months.  

From the Email History page, you can search based on the subject line or the receiver's email address.  Leaving that field blank will allow the software to search all emails sent within the date range you enter, after clicking the Search button.

You can also filter to search only Delivered, Failed, or All Emails.  Checking the box labeled "Text messages only (via Churchteams email) will search for Text messages that were sent through the mobile carriers' gateway (the free email).

Search results will display the Status of the Email as Delivered (shown in green), Bounced (shown in red), or Delayed (yellow) along with the time and date the email was sent. Email History Results

If the result is red (bounced), the email was not delivered.  There are a number of reasons this can happen.  Learn more about bounced emails and how to fix this issue here.

The search results will also display the recipient's email address (clicking the email address will take you to a listing of anyone who uses that email address), the email Subject, the number of times the email was opened, and if any links were clicked open. You can click any column heading to sort by that information.

Text History

Text History is stored for the previous 18 months. and only shows texts sent using your Text-to-Church number.  *Texts sent via the free mobile carrier gateway are stored in Email History since those are sent through an email gateway.

The Text History page displays the number of texts sent/scheduled this month, along with a dynamic count of how many free texts are remaining for the month.  This number is reflective of texts sent via your Text-to-Church number.  Free texts sent via the mobile carrier gateways are not included in this count.

The Search function works much like the Email History search.  You can search by Message, Keyword, or a person's phone number, or leave those fields blank and see all texts sent for a specific date range.  You can also check the box to see texts with deliverability errors.

You can choose to see just sent, just received, or all texts (via your Text-to-Church number). You can also filter based on Keyword texts, texts sent via a Workflow step, Mass Texts (sent using the Communicate > Text > Send menu), and/or Chats.  Chats are direct texts sent by staff (with proper access) to someone.  (Learn more about Chats here)

Errors with texting could result if someone has blocked your Text-to-Church number, a wrong Keyword is sent to the church number, messages with only one word are texted to the church (the software assuming it is a Keyword attempt).  We advise that you check for errors regularly.  Asking open-ended questions when sending a text will likely prevent "yes," "no," or other one-word responses.
