How to export Group Participants data from The City

As a group administrator, you have the ability to export CSV files of all the online or offline users from any group. The export file this process creates contains most data associated with the users in your City. This makes it helpful in situations that require you to have a complete list of personal information for the people of your church.

 

To create a CSV list of active group participants (online users)

  1. In the admin panel, expand the Admin
  2. Click Groups.
  3. Using either the Tree Viewor the Search for a group field, find the group you want to edit.
  4. Click View Participants.
  5. Under the Participant Reportssection, click Export Active and Inactive Participants to CSV.
  6. At the bottom of the report queue, click Refresh.
  7. When it becomes available, click CSVlink and download the file. If you use Firefox, left-click to open the file. If you use Chrome, Safari or Internet Explorer, right-click and download the file.

 

To create a CSV list of offline group participants (offline users)

  1. In the admin panel, expand the Admin
  2. Click Groups.
  3. Using either the Tree Viewor the Search for a group field, find the group you want to edit.
  4. Click View Participants, then click theOffline Participants 
  5. Under the Participant Reportssection, click Export Offline Participants to CSV.
  6. At the bottom of the report queue, click Refresh.
  7. When it becomes available, click CSVlink and download the file. If you use Firefox, left-click to open the file. If you use Chrome, Safari or Internet Explorer, right-click and download the file.

 

Data Fields Definitions

The chart below provides definitions for the data fields included in the CSV export.

Item Definition
ID The unique number for this user’s City account
Title Displays any title assigned to the user
First First name
Middle Middle name
Last Last name
Preferred_Name Preferred name
Email Email address
Email_Bounced Yes indicates the user is having trouble receiving City emails
Primary_Phone The user’s primary phone number
Primary_Phone_Type Whether the primary phone is a homework, or mobile number
Secondary_Phone The user’s secondary phone number
Secondary_Phone_Type Whether the secondary phone is a homework, or mobile number
Address_ID A back-end identification number of the user’s first listed address
Street The street number of the user’s first listed address
Street2 The second line of the user’s first listed address, if used
City The city of the user’s first listed address
State The state of the user’s first listed address
Zipcode The ZIP code of the user’s first listed address
Location_Type The type of location (homework, or mailing) associated with that address
Birthdate When the user was born
Gender user’s gender
Primary_Campus The primary campus selected by the user
Type Whether the user is offline (OfflineUser) or online (User)
Head_of_Household Whether or not this user is the head of a family unit (this includes single people), for financial purposes
Family_ID The back-end identification number for the user’s family
Family_Role Which family role is held by the user (SpouseChild, or Other)
Active Whetherthe user has been deactivated (all offline users are listed as active)
user The user’s official memebership status
user_Since The date the user became a member
Is_On_Staff Yes indicates someone who is marked as being on staff at the church
External_ID_1 user identification number associated with any other system your church uses (this can be renamed by an account administrator)
External_ID_2 Customizable information field that can be renamed by an account administrator
External_ID_3 Customizable information field that can be renamed by an account administrator
In_Community_Group Yes indicates the user is in a group of the Community type (renaming that type will change this column heading)
In_Service_Group Yes indicates the user is in a group of the Service type (renaming that type will change this column heading)
In_Connect_Group Yes indicates the user is in a group of the Connect type (renaming that type will change this column heading)
In_Campus Yes indicates the user is in a group of the Campus type (renaming that type will change this column heading)
Created_At When the user’s account was made
Last_Engaged When the user was last engaged in The City
Contact_Updated_At When the user’s contact information was last updated
Role_In_Group The user’s group role in the group you exported (people who are inactive in the group show up as blank)
Marital_Status The user’s declared martial status (not related to whether or not their account is linked to a spouse)
Custom Fields Up to 20 additional fields custom made by your account administrator
Flagged_As_Potential_Duplicate Yes indicates this user appears in the Duplicates tool as a possible duplicate profile
Group_ID The number of the group that you exported this list from
Group_Name The name of the group that you exported this list from
Group_Type The type of the group that you exported this list from
