How we integrate with eSPACE, a facilities management software.

How Churchteams integrates with eSPACE, a facilities management software.

1)  Create the event in eSPACE. This will make sure the space is available and permissions are granted for doing the event.

2)  The system connects eSPACE and Churchteams.  When the event is created and approved, the integration will create a corresponding event (group) in Churchteams.  Information brought over from eSPACE includes the Name of the event, Description, Day of the Week, Start Date, and Maximum Size allowed for registration. Churchteams sends the registration link for the event back to the Public field in eSPACE.

Note: Churchteams will recognize and update any changes made to the event that are subsequently sent from eSPACE. But, for safety reasons, it will not delete an event in Churchteams that has been deleted in eSPACE. 

3) Manage everything people-related in Churchteams as usual.  Note: You will want to go to the group/event in Churchteams and click the edit button to update the Group Profile so that the event is correctly assigned to the right ministry in Churchteams.

4) - Manage everything facilities-related in eSPACE.

Here is an example of how the integration works:

Let's say you are planning for VBS 6 months out.  The first step is typically seeing when the physical space for VBS is available, so start that process with eSpace for reserving the space. Book VBS using the right rooms and resources.  The integration with Churchteams will automatically create the VBS group for registering and will link the registration link into the eSpace calendar for that date. If you publish your espace calendar (including using their Google Calendar option), the event will show up there. Be sure to set up your Churchteams VBS registration (in the Registration Settings page for the group) and edit the Group Profile settings for the VBS group. The link will show on the eSpace calendar, and anywhere else you published it.
